How a UPS and FedEx invoice audit works

A parcel invoice audit reviews invoice and shipment details, investigates discrepancies and pursues eligible adjustments. It should connect each finding to an action and a clear recovery status, rather than treating every extra charge as an error.

What information belongs in the review?

Start with the invoice period, carrier account, shipment identifiers and the charges being examined. Shipment details help explain service selection and package characteristics; invoice details establish what was billed. Keep the applicable terms and supporting records with an issue so that the basis for an investigation is clear.

Account access and data requirements should be agreed during onboarding. Do not send passwords, full invoices or customer shipment details through a public inquiry form. An initial conversation can establish fit and the appropriate way to provide any supporting information.

Invoice review and shipment auditing answer related questions

Invoice review examines what was billed and which items need investigation. Shipment auditing considers the underlying shipments and relevant recovery opportunities. A charge may be correctly applied but still deserve explanation because of its effect on total spend. An expensive shipment is not, by itself, a billing error.

Examples of questions worth investigating include whether a charge is duplicated, whether a label was used and whether a service-related refund opportunity is eligible. These are review questions, not a promise that every example qualifies for a refund or that every category follows the same process.

What are GSR and void claims?

GSR means Guaranteed Service Refund: a service-related refund opportunity subject to the carrier’s applicable guarantee and terms. Void-related recovery concerns eligible unused or voided-label charges. Franklin flags and files eligible GSR and void claims as part of its parcel audit and recovery work.

Eligibility depends on the shipment, service, shipment date and applicable carrier and account terms. UPS publishes the services covered by its active guarantee and the relevant conditions. Check the current carrier source for the shipment being reviewed rather than relying on a blanket rule that every late package receives a refund.

Broader billing recovery can involve expert work

Franklin also handles other billing recovery through investigation, manual review and email where needed. The service is not limited to GSR and void claims. Franklin supplies the tools and parcel expertise to organize the review, interpret billing issues and handle the follow-through.

For the customer, the important questions are what was reviewed, why an action was appropriate, who performed it and where the matter stands. This makes the work understandable without requiring the customer to become a parcel specialist.

Follow the status through to the account

Keep identified opportunities separate from filed claims, approvals and posted credits. A useful record links the charge, explanation, action and current status. Approval and an actual credit are different milestones; reporting should make the distinction clear.

Franklin customers keep 100% of recoveries and pay a separate subscription. Auditing is paired with ongoing analytics, reports, cost breakdowns and parcel expertise, so customers can understand costs as well as recovery activity. They retain their carrier accounts and shipping process.

Carrier references

Carrier terms can change. Check the current source for the shipment being reviewed.
